By week three, the month may look a little quieter, but behind the scenes, our team is busy following up on all the work that was set in motion during the first two weeks. If weeks one and two are about evaluating, collecting, and initiating, week three is about follow-through - and there is plenty of it!
Our field team is continuing annual property evaluations, and as those reports come in, our property managers review them carefully. We're looking not only for maintenance concerns and lease violations, but also for anything that could affect the long-term condition of the home. Necessary work orders are created, owners are contacted when larger repairs or approvals are needed, and residents given Notices to Correct. Catching a small concern today can often prevent a much larger (and more expensive!) problem tomorrow.
Renewals are also in full swing. Renewal offers are going out, so now we begin hearing back from residents. Some accept right away, some have questions, and others may let us know they plan to move at the end of their lease. Our team tracks every response and follows up on outstanding offers so owners have as much advance notice as possible about whether their property will be renewing or returning to the rental market.
When a resident decides not to renew, another process immediately begins. We start preparing for the upcoming turnover, scheduling pre-move evaluations, reviewing the property information and marketing plan, and making sure we have everything in place to minimize the amount of time the home is vacant. A move-out may still be weeks away, but good property management means we don't wait until the keys are returned to start planning what comes next.
Leasing activity continues throughout all of this. Our team is responding to prospective residents, coordinating showings, processing applications, preparing leases, and getting ready for upcoming move-ins. For properties already on the market, we continue reviewing activity and providing owners with updates so we can make adjustments when needed.
And, of course, maintenance never really follows a calendar! Routine requests and emergency work orders continue to come in every day. Our team coordinates with residents and vendors, follows up on outstanding work orders, reviews invoices and estimates, and makes sure completed repairs are properly documented. It may not always be the most visible part of property management, but staying on top of these details is a big part of protecting an owner's investment and providing residents with a well-maintained home.
By week three, you can really see how interconnected every part of property management is. An inspection can create a work order. A renewal decision can trigger a future turnover. A notice to vacate can lead to marketing, showings, applications, and eventually a new move-in. There is always a next step - and our job is to make sure none of those steps fall through the cracks.
