Week Four: The Property Management Cycle at Sloane Realty

We’ve made it to week four! If you’ve been following along with our series, you’ve seen just how much happens throughout a month in property management. By week four, our focus begins shifting toward wrapping up the current month while getting everything lined up to start the cycle all over again.

One of the biggest focuses this week is coordinating upcoming move-outs. Residents scheduled to move are receiving reminders about move-out procedures, and our team is confirming dates, scheduling move-out evaluations, and making sure we have the information needed to take possession of the property. At the same time, we’re looking ahead at what each home may need before it can be ready for its next resident.

For properties that will be returning to the rental market, this means getting a head start wherever possible. We review marketing information, confirm property details, evaluate whether updated photos are needed, and begin planning for any anticipated turnover work. The goal is always to reduce unnecessary downtime between residents while still making sure the home is properly prepared for its next tenancy.

While we’re coordinating this month’s move-outs, we’re also finishing an important piece of last month’s move-outs: security deposit dispositions. Our team reviews move-out evaluation reports, photographs, invoices, lease terms, resident ledgers, and documentation related to the condition of the property. We then finalize the security deposit accounting and make sure dispositions are completed within the required legal timeframe.

This is an especially detail-oriented process. We have to distinguish between normal wear and tear and resident damage related to the tenancy, verify that any charges are appropriately documented, and ensure the final accounting is accurate. It’s an important part of closing out a tenancy properly for both the owner and the former resident.

Renewals continue to require attention as well. By this point in the month, many residents have responded to their renewal offers, but our team is following up on any that remain outstanding. Each answer helps us plan ahead. A signed renewal means preparing for another lease term, while a notice to vacate sets several other processes in motion—from turnover planning and maintenance to marketing and leasing.

Of course, leasing never stops just because we’re nearing the end of the month. We continue monitoring properties currently on the market, responding to prospective residents, coordinating showings, processing applications, preparing leases, and getting everything ready for upcoming move-ins. For properties that have been available for a while, we’re also reviewing activity and market feedback to determine whether adjustments may be needed.

And then there’s maintenance—the part of property management that definitely does not look at the calendar before deciding when to happen! Routine requests, emergency repairs, vendor coordination, estimates, approvals, invoices, and follow-ups continue throughout the week. Our team is also checking on outstanding work orders to make sure items are moving toward completion and nothing gets lost in the shuffle.

And just like that, we’re ready to start again.

Next week brings a new month—and with it, rent collection, move-ins, move-outs, inspections, renewals, leasing, maintenance, accounting, and all the other moving pieces that make up the property management cycle.

Over the past four weeks, we hope we’ve given you a better look at what happens behind the scenes at Sloane Realty. Property management is rarely about one single task…it’s a long continuous if, then statement of processes and next steps and its our job is to make sure those steps keep moving—while protecting the properties entrusted to us and providing great service to our owners and residents.
